Position Overview

The Patient Service Representative (PSR) serves as the face of the practice and is responsible for creating a welcoming, professional, and patient-centered experience for all patients and visitors. The PSR plays a key role in promoting patient satisfaction, operational efficiency, and quality care by ensuring positive interactions and accurate administrative support throughout the patient experience.

Key Responsibilities

• Serve as the first point of contact and first impression for patients, visitors, and callers, creating a welcoming, professional, and patient-centered experience at all times.
• Greet patients and visitors in person and on the phone, provide exceptional customer service, and assist with questions or concerns within the scope of the position.
• Perform patient check-in and check-out functions, ensuring accurate documentation and efficient patient flow.
• Schedule, reschedule, and confirm patient appointments in accordance with practice policies and provider availability.
• Answer and direct incoming telephone calls, respond to routine inquiries, and route messages to the appropriate staff members.
• Verify insurance eligibility and benefits as required and communicate relevant information to patients.
• Collect copayments, outstanding balances, and other patient payments in accordance with practice policies.
• Maintain accurate patient demographic and insurance information within the electronic health record (EHR).
• Assist patients with patient portal access and other routine administrative needs.
• Manage and review patient questionnaires and visit-related forms to ensure completion prior to provider encounters.
• Prepare and maintain front office materials, forms, and resources needed for daily operations.
• Coordinate patient flow and communicate effectively with clinical staff to support timely and efficient appointments.
• Support quality improvement initiatives by assisting with preventive care outreach, annual wellness visit scheduling, care gap closure efforts, and other patient engagement activities.
• Maintain patient confidentiality and comply with all HIPAA and organizational privacy requirements.
• Participate in training, staff meetings, and ongoing professional development activities.
• Perform other front-office and patient service duties as assigned.

Qualifications

High school diploma or equivalent.
